How to set your Music Budget for Your Event

When determining what percentage of the budget that you can set for your music, it is good to consider  what you and your guests will talk about for years to come.

Clients have told me that my price is somewhat comparable with the cost of a vegetable platter at most events.

Are you and your guests going to be talking about how amazing the vegetables were or how spectacular the plate chargers were?

Are these things people will remember for years to come?


What you might be consider cutting to create some room in your budget for higher quality entertainment:

    • Veggie Platter
    • Unnecessary Decor
    • Lighting overkill
  • AV: Take a look at your AV quote: which components do you absolutely need vs. what is a nice-to-have? Are there pieces of the AV agreement that could incur an additional cost like damage fees or per diems? What should you not hack off the budget OR always plan for when it comes to AV needs? Does your in-house AV provider include fees that you should be aware of? We might be able to provide some AV services at a fraction of the cost. 


How to Budget your Event- here’s a basic breakdown of what you can expect to pay:

Corporate Events:

    • Reception/AV: 48-50 percent
    • Flowers: 5- 8 percent
    • Entertainment/Music: 8-15 percent
    • Photography/Videography: 10 percent
    • Stationery: 2 percent
    • Parking/Transportation: 2-3 percent
    • Gifts: 2-3 percent
  • Miscellaneous:  10 percent

Weddings

    • Reception: 48-50 percent
    • Ceremony: 2-3 percent
    • Attire: 8-13 percent
    • Flowers: 8-10 percent
    • Entertainment/Music: 8-15 percent
    • Photography/Videography: 10-15 percent
    • Stationery: 2-3 percent
    • Wedding Rings: 2-3 percent
    • Parking/Transportation: 2-3 percent
    • Gifts: 2-3 percent
  • Miscellaneous: 8 percent

How can you calculate how much of the Budget a Vendor will cost?

Take the cost of  the Vendor and Divide by your Budget

For example:. Vendor cost is $1500 and Budget for event is $40,000
1,500/40,000 = .04 which is 4 %
